Role Overview:

Metric Engineering is currently seeking a Project Coordinator to join our Lake Mary ITS (Intelligent Transportation Systems) Technology group. The Project Coordinator is an integral member of the project team and will work to assist multiple project managers with the coordination of resources, equipment, meetings, and the delivery of information systems in support of ITS technology projects of varying size and complexity. The Project Coordinator is responsible for directing, organizing and controlling ongoing project activities, under the direction of a Project Manager (PM), with the goal of getting them completed on time and within budget.

Day to Day:

Project Coordinator Duties (70%)
  • Use project scheduling and control tools and project management software to maintain, update and monitor project plans, project schedules, work hours, budgets and expenditures
  • Coordinate with PM’s to keep them abreast of project milestones according to the CPM schedule and deliverables according to the scope while maintaining documentation appropriately
  • Track the progress of milestones, action items and deliverables for each project
  • Organize, attend and participate in client meetings as needed, assist with determination of project requirements, take minutes and distribute to project team members
  • Document and follow up on important actions and decisions from meetings and effectively communicate to PM’s on status and issues that may impact project outcomes
  • Prepare necessary presentation materials
  • Assist the PM in the drafting and issuance of project plans, budgets, cash flows and preliminary schedules
  • Prepare project organization and communication charts
  • Develop financial reports, client billing and monthly client workload reports
  • Provide Technology Manager with project financial data for developing annual budgets on IT projects
  • Assist with resource sharing between projects
  • QC/Proofread technical documents prior to submission
Administrative Duties (30%)
  • Provide administrative support
  • Coordinate resource procurement activities        
  • Handle all purchasing for the department
  • Prepare and submit expense reports       
  • Book hotels, car rentals, flights, etc. for all technology staff
What you should bring:
  • 3+ years of experience supporting Project Managers and project teams
  • PMP or CAPM certification would be a plus
  • 3+ years of experience supporting Project Managers
  • Proficient in Microsoft Office applications such as Word, PowerPoint, Outlook Excel and Microsoft Project
  • Understanding of PM software such as Jira, Mavenlink, etc.
  • Effective communication both verbal and written
  • Proven ability to work effectively both independently and in a team based environment
  • Demonstrated willingness to be flexible and adaptable to changing priorities
  • Strong multi-tasking and organizational skills
  • Ability to work on tight deadlines
